Role title: Office - administration manager

No Desire To Retire (NDTR) is a leading champion of worker diversity in the UK. In particular we are a market leader in the recruitment of mature workers in particular those over the age of 50. We are in the process of expanding our operations to include a new base of operations to be located in within easy travel of Tunbridge Wells. We are currently looking for a variety of personnel to join our new operation.

We specialise in the provision of recruitment and staffing services to both private sector as well as public sector clients. We operate across the whole of the UK and our new office will be focussing on clients and markets in London and surrounding counties. My client who are a recruitment consultancy, based West Kent, are now looking for an operational/ office manager.

The role of Office & Administration manager is a key hire for NDTR. The right person will have the run of an office that will have a final headcount of 30+. We are looking for a mature individual, somebody who matches our own ethos. Ideally somebody with extensive experience in the Agency Recruitment sector and ideally one with a focus on our key markets.

Responsibilities will include
Pivotal to this role is Finance function. Dealing with Time sheets and Accounts receivable.
Time sheet Management, including processing and following up on missing time sheets.
Client invoicing based on time sheets
Permanent placement invoicing
Allocating AR Payments
Processing and chasing AR
Payroll:
Processing contractor payroll runs
Process internal wages, super and expensive reimbursements for internal staff
Process internal commission and bonus payments
Prepare and lodge superannuation payments
Accounts Payable: Process accounts payable invoices including processing payments & remittances
Financial reporting: Track and report on company and individual sales and billings on a monthly and quarterly basis
P&L reporting on a monthly and quarterly basis.
Contractor workforce and placement management
Prepare clients agreements or execution
prepare contract agreements for execution
Placement compliance in CRM
Contractor systems set-up and admin
Client PO management
Tracking contractor and dates, flag extension request dates, update CRM details.
Office Support:
Recruitment team support and administration
CV preparation, Document formatting, Presentations
Facilities: Monitoring and ordering stationary and kitchen supplies,
Ordering and maintaining furniture and office equipment
Asset and key registers, supplier management, Petty cash
I.T. Organise and maintain electronic documents
Resolve level 1 I.T. related issues
Liaise with I.T. suppliers to resolve level 2 and above I.T. issues
New starter set up and induction
Office systems and procedures
HR:
Employee contracts, Policies, Health and Safety.
Ideal candidate:
Excellent finance management experience
Good communication - rapport building skills
Highly organised - keen attention for detail
Proficient in Microsoft applications
Full driving license
